This policy is written for buyers, distributors and installers who deal with Shenzhen Byekey Automation (the site you are reading, byekeyautomation.com). It tells you exactly what we hold about you, why we hold it, who else can see it, and how to have it changed or removed. Where a clause is short, it is short because the underlying practice is short: we do not run forms, trackers or ad pixels on this website.
1. Who We Are
Shenzhen Byekey Automation (“Byekey”, “we”, “us”) manufactures and sells gate operators and related accessories. We are the data controller for the information described in this policy. If you reached us through a distributor, your commercial relationship is with that distributor and their own privacy terms apply to it; this policy covers what happens on our website and in direct correspondence with our sales team.
2. Information We Collect
2.1 What you send us
When you write to us by email or WhatsApp to ask about a model, a datasheet, a price or after-sales help, we receive whatever you choose to include. In practice that is your name, your company, an email address or phone number, the country you are in, and the content of your message. Some buyers attach a site photo, a gate drawing or a purchase order, and we then hold those files as well.
2.2 What the server records automatically
Like essentially every website hosted on commercial infrastructure, our hosting platform writes standard access records for each request: the IP address used, the browser and operating system string, the URL requested, the referrer where one exists, and the date and time. These records exist for security, abuse prevention and troubleshooting. We do not use them to build profiles of individual visitors, and we do not match them against your identity.
2.3 What we deliberately do not collect
There are no contact or registration forms on this website, so nothing is submitted through the pages themselves. There is no account system, no checkout, no newsletter capture, no third-party analytics script and no advertising or retargeting pixel. We do not ask for payment card details and we do not collect special-category data (health, biometrics, beliefs, or anything similar) at any point.
If a page on this site ever starts collecting something new, that page gets a written sentence about it in this policy before the collection goes live. That is the test we hold ourselves to.
3. How We Use Your Information
- Answer your enquiry, prepare and issue a quotation, and confirm technical suitability of a model for your gate.
- Process an order: production scheduling, packing lists, shipping documents, certificates and invoices.
- Provide after-sales and warranty support, including spare-part fulfilment and remote diagnosis.
- Keep the website and our mail systems secure, and fix faults reported by visitors.
- Meet our own accounting, tax and export-record obligations.
We do not sell, rent, barter or otherwise trade personal information. We do not send marketing email to someone who has not asked for it; where a buyer opts in to our price or new-model list, every message carries a way to stop it and removal is immediate.
4. Cookies and Consent
This site sets a small number of essential cookies and equivalent browser storage entries. They keep the site working — for example remembering the choice you made in the consent banner, or the current display preference of the catalogue sections. Essential storage is set because the site cannot behave correctly without it.
Optional categories (analytics, marketing) are only switched on after you accept them in the banner, and they are off by default. Today we set none of them: there is no analytics or advertising script on this site. If one is added later, it will respect the choice you recorded here.
Your consent choice is stored in your own browser, never pushed to our servers, so clearing your browser storage clears the record with it. You can reopen the choice at any time through the Cookie Settings link in the footer of every page, and withdrawing consent does not affect processing that already happened lawfully.
5. Legal Grounds We Rely On
For visitors in the EU/EEA or UK, and as a general statement of our position everywhere else:
- Contract steps — processing your enquiry, quotation and order is done to take steps at your request before entering into a contract, and to perform that contract (GDPR Art. 6(1)(b)).
- Legitimate interest — keeping server access records to secure the site and diagnose faults (GDPR Art. 6(1)(f)). The interest is ours and the impact on you is minimal.
- Consent — non-essential cookies and any future analytics (GDPR Art. 6(1)(a)), withdrawable at any time in Cookie Settings.
- Legal obligation — accounting, tax and export documentation we are required to retain.
6. Who Else Can See It
We keep enquiry data inside our company; access to the mailboxes where it lands is limited to the sales staff who need it to answer you. Outside the company, information reaches only:
- Our hosting provider, which stores the website files and the server access records on our behalf.
- The messaging platform you chose to contact us through — typically WhatsApp — which has its own terms and its own processing of your metadata.
- Freight forwarders, customs brokers and certification bodies, but only with the shipping and company details needed to move your goods and clear them.
- Our banks and auditors, for payment reconciliation and statutory accounts.
We do not otherwise disclose personal information, and we never sell it. Where we are required to disclose by law or by a valid order, we disclose the minimum the request compels and, unless prohibited, we tell you first.
7. International Transfers
This website is hosted on servers outside the EU/EEA, and our sales team works from China. That means an enquiry you send is transferred internationally by the very act of sending it. We keep such transfers limited to what is necessary to run the site and answer you, and where GDPR applies we rely on the safeguards it permits for transfers of this kind. We do not transfer data to countries under sanctions or to destinations unrelated to your order.
8. How We Protect Data
We use the safeguards a small manufacturing and export business can realistically operate: restricted access to the mailboxes where enquiries arrive, two-factor protection on administrative accounts, the principle of least privilege for staff systems, HTTPS on the website, and updates applied to the hosting stack. We do not hold payment card data at all, which removes the largest exposure.
No method of transmission over the internet is completely secure, so we cannot promise absolute safety; we can and do promise that we review the setup regularly and that we limit what we collect in the first place, because the data we never asked for is the data that can never leak.
9. How Long We Keep It
Enquiry correspondence is kept for up to 24 months, which covers the practical window of follow-up questions, spare parts and warranty claims on a machine you have bought. After that we delete it, unless an open order, an active warranty, or an accounting or export rule requires us to keep the record longer — in which case we keep only the part the rule requires, for only as long as it requires.
Server access records are kept for a short technical window set by the hosting platform and then rotated out. Quotations that became orders are retained with our sales records for the statutory accounting period.
10. Your Rights and Choices
Write to us from the address you originally contacted us with, and tell us which enquiry this concerns. You can ask us to:
- Confirm what we hold about you and send you a copy.
- Correct anything inaccurate — a wrong company name, an old phone number, a misspelled contact.
- Delete the enquiry record and anything derived from it.
- Restrict or object to a processing activity, or stop further contact.
- Withdraw a cookie consent you gave earlier.
We acknowledge requests and answer them within 30 days, at no charge. If you are in the EU/EEA or UK you also have the right to complain to your local data-protection authority; we would rather you came to us first, because in almost every case the fix takes one email.
11. Children
This is a business-to-business site selling industrial gate equipment. It is not directed at children, and we do not knowingly collect information from anyone under 16. If we learn that we have such information by mistake, we delete it.
12. Changes to This Policy
We revise this page when our practices change — for instance if we ever add a contact form or an analytics tool, or if we change hosting providers. The version and effective date shown at the top of this page move with each revision, and material changes are noted in correspondence with active buyers rather than only in the page itself.
Policy version 2.0 — effective 1 October 2026.
13. Contact Us About Privacy
Questions about this policy, about the data we hold about you, or about a request: email byekeydw@gmail.com with “Privacy” in the subject line, or message us on WhatsApp at +86 166 2090 1157. Commercial terms that govern an order are covered separately in our Terms of Service.
